This Privacy Policy explains how Fazinflo collects, uses, stores, shares, and protects personal information in connection with AdsFlow, its paid advertising creative service.
AdsFlow works with businesses that run paid advertising. In the course of delivering the service, Fazinflo receives access to advertising account data, performance reporting, and creative materials that may contain personal information. This policy sets out how that information is handled.
By using the AdsFlow website or engaging AdsFlow services, you acknowledge that you have read and understood this policy.
2. Who We Are
AdsFlow is operated by Fazinflo. For the purposes of applicable data protection law, Fazinflo is the data controller in respect of personal information relating to prospective clients, clients, and website visitors.
Where Fazinflo processes personal information contained within a client's advertising accounts, customer data, or supplied footage, Fazinflo acts as a data processor on the client's instructions, and the client remains the data controller of that information.

3. Information We Collect
Information you provide directly. Name, business name, email address, telephone number, country, website, job role, and any information you submit through enquiry forms, booking forms, or consultation calls.
Commercial and engagement information. Details of your offer, products, services, pricing, target audience, existing marketing assets, package selection, billing records, and correspondence with our team.
Advertising account and performance data. Where you grant access, or where you supply reporting, we receive advertising performance data including spend, impressions, clicks, reach, frequency, conversions, cost per result, return on ad spend, audience and placement breakdowns, and creative-level performance. This data may include aggregated or pseudonymised information about the individuals who saw or interacted with your advertising.
Creative materials you supply. Raw video footage, photographs, voice recordings, testimonials, reviews, brand assets, and any other material you provide for production. These materials may contain the personal information, image, voice, or likeness of you, your team, your clients, or third parties.
Technical and website information. IP address, browser type and version, device type, operating system, referring URL, pages visited, time spent on page, and interaction events, collected through cookies and similar technologies where you have consented to them.
We do not intentionally collect special categories of personal data (such as health, biometric, religious, or political information). Please do not include such information in materials you supply unless it is necessary and you have a lawful basis for doing so.
4. Advertising Account Access
Where you grant Fazinflo access to your advertising accounts, business manager, analytics platforms, or reporting tools:
- Access is used solely to audit existing advertising performance, analyse creative results, and produce creative recommendations under your engagement.
- Access is limited to the personnel who require it to deliver the service.
- We do not export, download, or retain your customer lists, audience files, or contact databases, and we do not use them for any purpose of our own.
- We do not use your advertising account access to run, edit, pause, or budget campaigns unless you have separately instructed us to do so in writing.
- We do not use your data to train artificial intelligence models, and we do not sell, rent, or trade your data.
- You may revoke access at any time. On termination of the engagement, we relinquish any access we hold.
Advertising platforms operate their own data practices, which are governed by their own privacy policies and by the terms between you and that platform.
5. How We Use Information
We use personal information to:
- Respond to enquiries and conduct consultation calls
- Assess suitability for the service and recommend an appropriate package
- Deliver the contracted services, including audits, scripting, creative production, and monthly analysis
- Communicate about the engagement, including onboarding, delivery, feedback, and support
- Issue invoices, process payments, and maintain financial records
- Maintain and improve our internal processes, templates, and quality standards
- Comply with legal, tax, and regulatory obligations
- Where permitted, send service updates and marketing communications, from which you may opt out at any time
Where we use anonymised or aggregated insights derived from engagements to improve our own methodology, that information is stripped of identifiers and cannot reasonably be used to identify you, your business, or any individual.
6. Legal Bases for Processing
Where the EU or UK General Data Protection Regulation applies, we rely on the following legal bases:
- Performance of a contract — to deliver the services you have engaged us for, and to take steps at your request prior to entering a contract.
- Legitimate interests — to operate, secure, and improve our business, to respond to enquiries, and to conduct direct marketing to business contacts, balanced against your rights and interests.
- Consent — for non-essential cookies, and for marketing communications where consent is required. Consent may be withdrawn at any time.
- Legal obligation — to meet tax, accounting, and regulatory requirements.
7. Sharing and Third-Party Processors
We do not sell personal information. We share information only as follows:
- Our personnel and subcontractors — editors, designers, scriptwriters, and analysts engaged to deliver your work, each bound by confidentiality obligations.
- Service providers — including cloud storage and file transfer providers, project management and communication tools, video and design software providers, payment processors, scheduling and calendar tools, email and CRM providers, and website analytics providers. These parties process information on our instructions.
- AI service providers — where AI-assisted creative is included in your package, prompts and reference materials may be processed by third-party AI tools. We do not submit customer lists, audience data, or personal contact data to such tools.
- Professional advisers — legal, accounting, and insurance advisers where necessary.
- Legal and regulatory bodies — where required by law, court order, or to establish, exercise, or defend legal claims.
- In connection with a business transfer — where Fazinflo is involved in a merger, acquisition, or sale of assets, subject to equivalent protections.
8. International Transfers
Fazinflo operates globally and serves clients across the United States, Canada, the United Kingdom, the European Economic Area, the United Arab Emirates, and other regions. Personal information may therefore be transferred to, stored in, and processed in countries other than the country in which it was collected, including countries whose data protection laws may differ from those of your own.
Where personal information originating in the EEA or United Kingdom is transferred to a country not covered by an adequacy decision, we implement appropriate safeguards, including Standard Contractual Clauses or the UK International Data Transfer Agreement or Addendum, together with supplementary measures where required.

9. Data Retention
We retain personal information only for as long as necessary for the purposes for which it was collected:
- Enquiry and consultation records — up to 24 months from last contact, unless you request deletion sooner.
- Client engagement records, briefs, and correspondence — for the duration of the engagement and up to 24 months thereafter, to support continuity and handle queries.
- Delivered creative and source materials — retained for a reasonable period after delivery to allow re-supply, then deleted or archived in line with our internal schedule. You may request earlier deletion of raw footage once final deliverables are approved.
- Financial and invoicing records — for the period required by applicable tax and accounting law.
- Advertising account access — relinquished on termination of the engagement.
- Portfolio and case study material — retained while used for that purpose, subject to your right to withdraw permission.
10. Security
We apply appropriate technical and organisational measures to protect personal information, including access controls limiting data to personnel who need it, credentialed and permission-scoped platform access rather than shared passwords, reputable cloud storage and transfer providers, and confidentiality obligations on all personnel and subcontractors.
No method of transmission or storage is entirely secure. While we take reasonable steps to protect information, we cannot guarantee absolute security. Where a personal data breach occurs that is likely to result in a risk to individuals' rights, we will notify the relevant supervisory authority and affected individuals as required by applicable law.
11. Your Rights
Depending on where you are located, you may have some or all of the following rights:
EEA and United Kingdom (GDPR / UK GDPR). Access, rectification, erasure, restriction of processing, data portability, objection to processing based on legitimate interests, objection to direct marketing, and withdrawal of consent. You also have the right to lodge a complaint with your local supervisory authority.
California (CCPA / CPRA). The right to know what personal information is collected, used, and disclosed; the right to delete; the right to correct; the right to opt out of sale or sharing of personal information; the right to limit use of sensitive personal information; and the right not to be discriminated against for exercising these rights. Fazinflo does not sell or share personal information as those terms are defined under the CCPA/CPRA.
Canada (PIPEDA). The right to access personal information held about you, to request correction, and to challenge our compliance with applicable privacy law.
United Arab Emirates (PDPL). The rights to access, correction, erasure, restriction of processing, portability, and objection, where applicable.
To exercise any right, contact us at the address in Section 16. We will respond within the timeframe required by applicable law, and may need to verify your identity before acting on a request.
Where a request relates to personal information contained within a client's advertising account or supplied materials, and Fazinflo acts as processor rather than controller, we will refer the request to the relevant client and support them in responding.
12. Cookies and Website Analytics
The AdsFlow website uses cookies and similar technologies to operate the site, remember preferences, and understand how the site is used.
- Strictly necessary cookies are required for the site to function and cannot be disabled.
- Analytics cookies help us understand traffic and page performance in aggregate.
- Advertising and measurement technologies, which may include advertising platform pixels, may be used to measure the performance of our own marketing and to deliver relevant advertising.
Where required by law, non-essential cookies are set only with your consent, which you may withdraw at any time through the cookie settings on the site or your browser controls. Blocking cookies may affect site functionality.
13. Footage, Testimonials, and Likeness
Where you supply footage, photographs, voice recordings, testimonials, or reviews, you confirm that you have obtained all necessary consents from every individual appearing in or identified by that material, including consent to its use in paid advertising.
Fazinflo processes that material solely to produce your deliverables. We do not use client footage or likeness in our own portfolio or marketing without permission.
If you or an individual featured in supplied material wishes to withdraw consent, contact us and we will cease using that material in future production. Creative already published by you in your own advertising accounts is under your control to withdraw.
14. AI Tools and Generated Content
Where AI-assisted creative is included in your package, we use third-party AI services to generate or assist in generating visual and written creative. Prompts and reference material submitted to those services are processed under the providers' terms.
We do not submit customer lists, audience data, contact databases, or personal contact information to AI services. Where footage or imagery containing identifiable individuals is used with AI tools, this is done only with your instruction and on the basis of the consents you have confirmed under Section 13.
15. Children's Privacy
AdsFlow is a business-to-business service and is not directed at children. We do not knowingly collect personal information from anyone under the age of 16. If you believe a child's information has been provided to us, contact us and we will delete it.
